After School Program – FAQ

Thank you for trusting us with your After School needs. As always, we aim to be the best, safest, most thorough, most engaging, and most enriching after school program available anywhere. In order to help us all maintain a program that runs smoothly and serves the community to the best of our ability, this list of Frequently Asked Questions and info serves to help us all maximize our experience and abilities. 

Q: How does billing work? 

A: We bill every Friday for the upcoming week, so we will always be a week ahead. If you enroll in the middle of a week, your first week will likely include 2 payments, one for the current week, and a 2nd payment on Friday for next week. 

Q: How long does my enrollment last? 

A: If you enroll on Tuesday, you are enrolled for every Tuesday until the end of the school year, or until you tell us otherwise. There is no early cancellation fee or registration fees because we want families and students to want to be here–not to feel like they are trapped in a long term contract. 

Q: How is transportation determined and provided? 

A: We take the transportation of our students very seriously, and safety is our top priority. Schools are selected by proximity and number of students interested (minimum 5 per day). We will pick students up at selected schools at dismissal time at the school’s designated meeting area. As a parent, you will need to communicate with the school, the teacher, and us on the first day your child rides with us, and follow the schools notification policies each day after that. We will bring students back to STEAM, and parents will pick them up when the program ends or when it is convenient for the family. 

QWhat happens if we need to miss a class (illness, vacation, etc)

A: PLEASE LET US KNOW ASAP! Nobody likes sitting on a bus waiting for a “missing” child because we weren’t notified of their absence. In many cases, if you give us advanced notice we will be able to provide a Make Up Day (see below). 

Q: What will happen on holidays/days off from school?

A: You will not be charged for holidays or days off when the schools are closed. We usually have Mini Camps on those days which require a separate Event sign up. 

Q: What happens if we need to drop the class? 

A: As long as you give us at least 7 days notice, you will not be charged for the next week. We will cancel your enrollment, cry a few tears, and hope to see you again soon. 

Q: What happens on Early Release Days?

A: As long as the Early Release Day falls on a normal After School Day, we will plan to pick up students as usual, but following the ERD dismissal time (E.g. at 12:10 instead of 3:10). Our after school program will run 3 hours following dismissal time (12-3), and there will be a second session added from 3-6pm for families who wish to take advantage of the extended time. 

Q: How do make up days work?  

A: Make-up days are given when you give us advanced notice of an absence. You will be billed as normal for the day you miss to hold your spot, but we will add a “Make-up” to your account. Make-ups can be used any day OTHER than your regularly enrolled days. They can also be used towards Mini Camps or Early Release Camps. All Make up days are subject to availability and capacity, so you will need to call or email us to schedule them ahead of time. 

Q: What time can we pick up? 

A: Parents can pick up whenever it is convenient for them. We of course would love to have your kids stay until 6pm. In order to get the most out of our program, kids should be there until at least 4:45 to participate in 1 enrichment class, and 5:45 to participate in 2 enrichment classes. 

Q: Can we enroll for a single day, every other week, or change our days around? 

A: Generally, no. We are unable to do non-recurring enrollments due to capacity issues. Most of our days carry a waitlist and we have limitations on how many students we can transport, so changing schedules are nearly impossible to accommodate. Occasional changes are fine, provided we have the space. 

Q: What time is the latest pickup, and is there a late pickup fee? 

A: Our program ends at 6:00pm. Starting at 6:01pm, there is a $1 per minute late charge. For example, a 6:15pm pickup will results in a $15 late fee. 

Q: Are there discounts available? 

A: Yes. Full week discounts (Mon – Thurs) are available, as well as sibling discounts.  

Q: How does the Waitlist work? 

A: Students added to the waitlist will be offered a spot when one becomes available. We try to offer spots on a first come first serve basis, but especially for the after school program, often times we are limited by transportation, so certain schools with lower enrollments may be able to move up the waitlist quicker than others.
